EH Meeting in Columbia
(Sept 12-13, 2000)
I
The following persons were present:
- Pujya Swami Chidanand Saraswati, Chairman, IHRF
- Dr. K. L. Seshagiri Rao, Chief Editor, EH
- Dr. Kaushal K. Sinha, Chief Executive Officer, EH
- Mr. Girish Yajnik, Director, Systems Operations, EH
- Dr. (Mrs.) Ratna Lahiri, International Project Officer, EH

After extensive discussions on the progress of the EH project, the following priorities of work were established:
- Assignment and collection of articles to be completed.
- Copy and substance editing units to be established/expanded in Allahabad, Bangalore, Bombay, Calcutta, Chennai, Delhi, Pune, Varanasi, etc.
- Collection illustrative materials and matching them with appropriate articles.
- Dr.Rao will visit India in November to meet with scholars and editors and move the project forward in these respects.
- Language and copy editing in US.
- Authentication of entire manuscript by respected scholars.

Discussion of the finances needed to move the work forward brought out the following points:
- Pujya Swamiji said that lack of funds in Pittsburgh meant that IHRF would not be able to meet the Columbia Office budget as presented to the Board Of Trustees by Dr. Sinha, CEO. Pujya Swamiji suggested that Columbia should continue with skeletal operations with a budget of $100,000 for a calendar year. Meanwhile, Pujya Swamiji and Dr. Rao will contact additional persons to see if any of them would like to co-sponsor the EH project.
- The functions of the Columbia Office related to language & copy editing would not be fundable. Although it was agreed this work was critical to the qualitative completion of the EH, Pujya Swamiji stated there were no financial resources for that work.
- The work of the Columbia Office in maintaining the database and the website also would not be able to be continued as staff could not be paid. Girish said that for just $6,000 he could use two Graduate Student Assistants for taking care of Web and the Database.

In response to the lack of funding available it was decided that much of the functional operations would be shifted to India:
- Rishikesh will format properly and upload all the articles; Girish will train the operators in India in two months. A video is to be prepared during that time, so that if a trained person leaves, the new person can learn from the video.
- Punjab and Haryana articles may be sent to Dr. Satish Kapoor for checking.
- One person to be appointed full time to be in charge of the collection of illustrative materials and their evaluation in terms of quality as well as matching them with the articles, photos to be stored digitally in floppies.
- Pujya Swamiji assured that he would send all the articles now in Rishikesh in electronic form.
- Local workshops to be organized for editing and finalizing D1, D2, D3 articles.

Girish Yajnik will direct computer operations and database system:
- Prepare, in consultation with Dr. Rao, a video cassette providing guidelines to authors, editors and unit coordinators. These guidelines are to be strictly implemented.
- Upgrade the current data base system to enable management, maintenance and operations over the web.
- Train qualified operators in India for data maintenance in Access and other software programs.
- Digitalize illustrative materials.
- Maintain and continuously update EH website.
- Direct computer operations and data base systems.

Dr. (Mrs.) Ratna Lahiri's term in Columbia would be extended for one more year. She will visit India to take care of her University obligations and will continue her work for EH. She will visit different centers for coordinating EH work in the North Eastern region of India, establish new units and orient unit coordinators and editing units on EH policies, procedures and guidelines. She will be in charge of the following:
- Coordinating western copy editing by scholars.
- Editorial checking of all the articles (especially North Indian) in subject area 4.
- Reconciliation of data base with Rishikesh and other offices.
- Collection of photos from different tourist and other offices in India.

The Chief Editor will implement the following strategies:
- He will write to the Board of Editors and members of the International Advisory Board.
- He will send to the Associate Editors, their respective subject area lists for their suggestions for inclusion or deletion of entries.
- Keeping the vastness, wholeness and diversity of the tradition in perspective, he, with the help of appropriate experts, will scrutinize the LMS articles to ensure methodological and chronological adequacy, objectivity of treatment, consistency of style, authenticity of substance and over all qualitative excellence along with correction of distortions, misinformation and disinformation.
